Therefore, the Company does not guarantee the realization and/or success of the B2B online meetings included in their purchased services nor the conclusion of any contracts between exhibitors and buyers. The scheduling and realization of those meetings and/or their success, as well as the conclusion of contracts between them, depends exclusively on the participants themselves. In order to use this specific feature of the website, the Company: a) asks you to activate a Jitsi account, which is automatically created though SAML 2.0 and IdP (ID Provider) and included in our parent account with Jitsi as a service provider, b) provides you with online user manual, where you will find all the information about how to organize and hold B2B online meetings at any time, c) provides you with the website and its applications and services, so that exhibitors and buyers can meet each other as if you were, as much as possible, in a physical food expo.

The Company also informs you about the following special terms of use of the B2B online meetings service, which may also be included in other documents between the Company and the exhibitor/buyer: a) to be able to use this service, it is required that you activate a Jitsi account on vrexpogreece.com platform, b) it is also required that you follow the instructions described in detail in the app`s user manual, which is available online on the website pages, c) you must commit to your availability for scheduled online appointments within the expo duration and in your provided availability slots, which can in no case be less than 2 hours per expo day, d) you must accept that any cancellations of scheduled appointments can only take place before 10am on the scheduled day, e) if your appointment with a buyer gets canceled as above, this appointment will not be deducted from the total number of your purchased appointments.

The Company bears no responsibility for any cancellations or lack of availability of the parties that have scheduled a B2B online meeting and in no case does the Company undertake the brokerage of such meetings, but only provides you with the space and the opportunity to organize such meetings.

E. CANCELLATIONS

The Company does not accept cancellations of participations in the online exhibition, as justified by its digital nature. The Company also reserves the right to refuse any participation without having to provide a specific justification, as well as to block one`s visibility on the website, especially if financial conditions required for your participation have not been met accordingly and for as long as such issues stay unresolved.

In any case, the Company takes no responsibility about your relevant actions or omissions.

In addition to the above, you will also be required to use a personal activation link, where you will set a password to activate your user account. 3.2. Registered Visitors

3.3. Online Events

If exhibitors choose to use the electronic event services (eg trainings, seminars, webinars, workshops, live streaming), we will process some information about the natural person who curates the event, such as: Photo, Name, Short CV, but this data is all optional.

Also, if you wish, either as exhibitors or buyers or visitors, to participate in such events, you will submit your participation within the event page by clicking on the relevant button and your account details of your participation in such events will be retained kept in our website`s records as mentioned above.

3.4. Online meetings

3.4.1. B2B online meetings

If you are an exhibitor and choose to use our B2B online meetings service, in order to be able to schedule calls and video-calls with the participant buyers, you will be required to activate a Jitsi account as an exhibitor/user, which will be added to our umbrella-account to enable you to use this particular service.

Through this feature, we will on the one hand process your email address so that you can receive a link to activate this Jitsi account and on the other hand we will also process the details and activity of this Jitsi account so that they will be visible to us and to the respective interested participants (buyers), when you make use of the service (for example submit an B2B online meeting request etc) and in order for you be enabled to use the service.

3.4.2. One-to-One online meetings

If you are an exhibitor and choose to use our One-to-One online meetings service, in order to be able to schedule calls and video-calls with the registered visitors, you will be required to activate a Jitsi account as an exhibitor/user, which will be added to our umbrella-account to enable you to use this particular service.

Through this feature, we will on the one hand process your email address so that you can receive a link to activate this Jitsi account or receive a notification when a visitor requests an online meeting with you and on the other hand we will also process the details and activity of this Jitsi account so that they will be visible to us and to the respective interested participants (visitors), when you make use of the service (for example you will appear as available every time you log in the digital expo platform or as busy every time you are in an online meeting etc) and in order for you be enabled to use the service.

- To communicate with you after the completion of our digital exhibition, in pursuit of entering into new contracts with you for our next possible physical trade exhibition EXPOTROF, as well as to let you know about hosting the Athens Fine Food Awards (AFFA) and other future activities, such as seminars and webinars following our digital expo vrexpogreece.com.

- To enable us to respond to you in case you sent us a query through our website contact email or by any other means or submitted any question, request or other communication to us.

- To facilitate further communication between exhibitors and visitors after the completion of our digital exhibition by providing them with the email address and name of their visitors, as well as by enabling the exhibitors to have visibility on the name, company and business activity of their visitor during a digital kiosk visit, so that the exhibitor can directly reach this visitor in real time.

- To transmit to Jitsi the email address of your company as an exhibitor or buyer Jitsi, so that you will be enabled to use your account in order to book and make online Β2Β meetings with the rest of the expo participants.

- To communicate with you in order to talk about new business and cooperation opportunities, as well as to inform you about future exhibitions/activities of vrexpogreece.com.

- To transmit your IP address, technical details of your browser or other technical details to 3rd parties like Facebook, Instagram, YouΤube, when you click on the respective links on our website and get transferred directly on our profiles on those 3rd party apps.

Third parties who may also gain access to your data are official state and supervisory bodies (e.g prosecutors and supervisory authorities etc.), only in those cases we will be required to comply with the law and the transmission is deemed necessary for reasons of public interest, as well as for the establishment, exercise or support of legal claims. As our business grows, we can also sell or buy some business. In the event of a merger or acquisition, dissolution or similar corporate event, your personal data may be part of transferrable assets and any successor to the Company will retain the right to process in accordance with this policy. In addition to that, when you sign up to participate in the exhibition as an exhibitor, we transmit your email to Jitsi and you will receive a notification from this service provider to activate your account, as in other case you will be unable to use our B2B and One-to-One online meeting services. Afterwards, whenever you use those online services to request an appointment, have a call or a video-call, then the service provider Jitsi gains access to your account details and your browser through our website. Through this process, Jitsi may collect your personal data for their further purposes, therefore kindly check and thoroughly read their respective privacy policy.

Furthermore, if you are a visitor at the exhibition and wish to contact an exhibitor through our application, the exhibitor may be able to access your name, the name of your company and your business activity, in order to contact you about the products of your interest and address you through our digital platform via notification to your visitor user-account. If you also subscribe to an online event, training, seminar, webinar or workshop, the event organizer may have visibility on your above information too. After you navigate the exhibition as a visitor, the exhibitors whom you have shown interest in by visiting their digital kiosks during the digital expo may receive your email address in order to further contact you for their own purposes regarding your interest.

Please note that, according to our terms of use, each participant in the exhibition must own a privacy policy and are solely responsible for that. However, according to their respective policies, those parties may be able to send the visitors marketing emails and messages about their activities and products that may have been of your interest during the online exhibition. In no case act these parties as data processors on our behalf, but as data controllers on their own account and our Company holds no responsibility for their actions or omissions regarding your personal data or their own privacy policies. It is important that you always separately read the relevant privacy policies of each party before providing your personal data. It is clarified that the above does not apply to unregistered visitors of our website.

8. Links to third party websites

Any connection on our website to third party websites through links, hyperlinks, banners, etc. does not imply that the Company assumes any responsibility for the content of those websites, the quality and the completeness of any products or services presented on them or their privacy policies. 10. Personal data retention period

13. Exercise of rights

Our response to your request will take place within (1) one month of its receipt and your full identification as the data subject, at no cost to you. The above deadline can be extended for a period of two (2) additional months in case of complexity or big number of requests, in which case you will be informed as soon as possible and no later than one (1) month from your ID authentication. In the latter case, we will inform you about the delay and its reasons. In cases where the request is deemed manifestly unfounded or excessive, the Company may either refuse to process it, or request the payment of a reasonable fee, taking into account the administrative costs for providing the information or performing the requested action.
